Running a Vehicle Inspection

Inspections are completed on any device. Use the QR code on the vehicle to start one instantly.

Starting via QR code

  1. Find the QR code sticker on the vehicle (usually in the cab or on the driver's door).
  2. Scan it with your phone camera.
  3. OpsOS opens the correct inspection for that vehicle automatically.
  4. Work through each step, marking pass or fail.
  5. Add photos to any step where you want to document a condition.
  6. Sign off and submit.

Starting manually

  1. Go to Fleet → Inspections.
  2. Click Start Inspection.
  3. Select the vehicle from the list.
  4. Proceed through the checklist.

Flagging a defect

If a step fails, you can flag it as a defect. Give it a description and severity. The defect is logged against the vehicle immediately and a notification goes to the fleet manager.

A vehicle with an open safety-critical defect can be flagged as off-road — it will appear differently on the fleet dashboard until the defect is resolved.

Adding photos

On any step, tap Add Photo to take a picture or upload one from your camera roll. Photos are stored against the inspection record permanently.

Completing the inspection

Once all steps are reviewed and the inspection is signed off, it's locked and stored in the vehicle's history. You can view past inspections from the vehicle page at any time.
