Contacts

Contacts are the people and organisations your team deals with. They are different from system users, who log in to OpsOS, and different from Planner workers, who use the worker portal.

Where contacts fit

Module How contacts are used
CRM Contacts can be linked to organisations, deals, and ongoing communication.
Projects Contacts can be used as client contacts and day-to-day points of contact.
Data Exchange Contacts can be imported in bulk when you are bringing existing records into OpsOS.
Organisation records A person can be linked to an organisation contact.

Add a contact

  1. Go to Contacts.
  2. Click Add Contact.
  3. Choose Person or Organization.
  4. Enter the name and contact details.
  5. Link the contact to an organisation if needed.
  6. Add address details or notes if useful.
  7. Click Create contact.

Find a contact

  1. Go to Contacts.
  2. Use the filters for search, type, or role.
  3. Click the contact to open it.

Edit a contact

  1. Go to Contacts.
  2. Open the contact.
  3. Update the details.
  4. Save your changes.

Give a contact the client role

  1. Open the contact.
  2. Go to the role section.
  3. Click Assign next to Client.
  4. Complete the client details shown.
  5. Click Assign Client Role.

Delete a contact

  1. Go to Contacts.
  2. Open the contact you want to remove.
  3. Choose Delete.
  4. Confirm the change.

Deleting a contact is a soft delete. The contact is hidden from normal lists and selectors, but existing records that already refer to that contact keep their history.

Restore a deleted contact

  1. A super admin must enter the tenant in Super Admin Active mode.
  2. Go to Contacts.
  3. Find the deleted contact row.
  4. Click Restore.

Things to know

  • The contact list can include both people and organisations.
  • A person can be linked to an organisation from the contact form.
  • The client role can be added from the contact record.
  • Deleted contacts are hidden from normal users until restored by a super admin.
  • If the person needs their own login, create them as a system user instead. See Managing Users.
