Data Exchange
Data Exchange is the bulk import and export area in OpsOS. Use it to download records as CSV files, or to bring a large set of data into the system at once.
Export coverage
Data Exchange now covers a much broader export set across OpsOS, including:
- Core: Users, Roles, Contacts, Suppliers, Premises, Venues
- Purchasing: Purchase Orders, Invoices, Estimates, Payment Files
- Planner: Shifts, Planner Users, Time Off, Positions, Assignments
- Inventory: Items, Warehouses, Categories
- Fleet: Vehicles, Inspections
- HR: Employees, Training Records, Incidents
- CRM: Organisations, Deals
- Projects: Events, Workspaces
Importable datasets and column references

Export a dataset
- Go to Settings → Data Exchange.
- Choose the dataset from Dataset.
- Click Download CSV.
- Save the file.
Exports are a snapshot of your current data.
If a dataset supports import, you can also use Download Template to get a blank CSV with the exact headers.
Prepare a file for import
- Go to Settings → Data Exchange.
- Choose the dataset from Dataset.
- Download the current CSV first if you need a starting point.
- Open the dataset's Column Reference link if you need the exact expected structure.
- Fill in the file using the same columns and structure.
Do not add, rename, or remove columns.
Import a dataset
- Go to Settings → Data Exchange.
- Choose the dataset from Dataset.
- Upload the completed CSV file.
- Click Upload CSV.
- Review Preview Import.
- Check the totals for updates, deletes, and any errors.
- Click Apply Import when you are ready.
The preview is important. OpsOS warns that rows missing from the upload will be deleted when the import is applied.
Check a log entry
- Go to Settings → Data Exchange.
- Find the log entry in the table.
- Click View.
- Check the status and summary.
Things to know
- Imports only work if the CSV follows the file structure exactly.
- If the preview shows errors, fix them before applying the import.
- Missing rows in the uploaded file are treated as deletions.
- Export files are point-in-time snapshots and do not update automatically.
- Export-only datasets will not show upload or template actions.
