Estimates

Estimates are the comparison records used when you want to check several suppliers against the same requirement before choosing one. They let you compare supplier offers side by side, get approval, and then create a purchase order from the approved result.

Where estimates fit

Area How estimates are used
Suppliers Each estimate can compare several suppliers on the same set of items.
Approval Groups Estimates are submitted for approval before a supplier is chosen.
Purchase Orders An approved estimate can be turned into a purchase order.

Create an estimate

  1. Go to Purchasing → Estimates.
  2. Click Create Estimate.
  3. Enter the estimate title.
  4. Add the suppliers you want to compare.
  5. Add the items you need pricing for.
  6. Enter the quantities, unit prices, discounts, and notes for each supplier offer.
  7. Save the estimate.

Submit an estimate for approval

  1. Open the record you want to submit.
  2. Choose the Approval Group if the action bar shows one.
  3. Click Submit For Approval.

Approve an estimate

  1. Open the submitted estimate.
  2. Choose the supplier you want to approve.
  3. Click Approve.
  4. If the estimate should not go ahead, click Reject All instead.

Create a purchase order from an approved estimate

  1. Open the approved estimate.
  2. Check the selected supplier.
  3. Click Create PO.

Edit or delete an estimate

  1. Open the estimate.
  2. Click Edit Estimate to change it while it is still editable.
  3. If you have admin access and the estimate should be removed, click Delete Estimate.

Things to know

  • Estimates compare supplier offers in a grid, with totals shown for each supplier.
  • Approval thresholds use the highest supplier total on the estimate.
  • Once an estimate has been converted, it shows as created and points to the follow-on purchase order flow.
